The Employee Leave & Benefits Specialist position is responsible for the administration and day-to-day operations of employee benefits, leave programs, ADA accommodations, and workers' compensation obligations. This role involves significant interaction with employees regarding their benefits, coordination of leave requests with the outsourced leave administrator, and the management of our wellness program.
Responsibilities:
- Manage all FMLA, state-specific leaves of absence, ADA, and personal leave cases.
- Collaborate with Business Partners to effectively resolve leave and ADA-related issues.
- Administer all continuous and intermittent leaves of absences (both FMLA and non-FMLA), ensuring clear communication to management and operations, accurate PTO submission, and timely updates to attendance records.
- Complete the employer portion of STD and LTD claims, submit them to the benefit vendor, and meticulously maintain all related files.
- Provide exceptional customer service by promptly and thoroughly addressing employee benefits inquiries via phone, email, and in person on a daily basis.
- Maintain accurate and up-to-date employee benefit records within the HRIS system.
- Thoroughly investigate work-related accidents and prepare comprehensive annual reports (OSHA Reports).
- Lead the coordination of the company’s wellness program, including managing and tracking the wellness budget, organizing engaging events, handling scheduling logistics, and actively participating in wellness meetings.
- Efficiently process newly benefits-eligible employees and provide comprehensive assistance with their new hire benefit enrollment.
- Deliver informative benefits overviews during new hire orientation sessions.
- Successfully coordinate the annual benefits open enrollment process.
- Manage wellness eligibility requirements, reporting, and auditing within both the vendor system and the HRIS system.
- Actively participate in Health and Welfare nondiscrimination testing procedures.
- Accurately process annual 1094-C and 1095-C ACA reporting forms.
- Maintain precise employee 401(k) data and oversee the processing of monthly billings for all group plans.
- Participate in annual 401(k) audits and nondiscrimination testing.
- Process employee 401(k) adjustments in the HRIS system and diligently monitor 401(k) contribution changes and updates.
- Perform all other duties and tasks as assigned to support the overall HR function.
Qualifications:
- College degree in a relevant field or equivalent education and experience demonstrating the necessary knowledge, skills, and abilities to excel in the essential functions of the position.
- Minimum of 3 years of progressive experience in Human Resources, specifically within employee benefits and total rewards.
- Strong knowledge of benefits plans' general structure and relevant Federal and State governing regulations, including FMLA, ERISA, IRS §125 Cafeteria Plans, HIPAA, and
- Workers’ Compensation. Experience in administering these plans is preferred.
- Proficient in Microsoft Office Suite, including advanced skills in Excel.
- Proven ability to effectively prioritize tasks, manage multiple responsibilities simultaneously, and work efficiently under pressure to meet deadlines.
- Excellent communication skills, both written and verbal, with the ability to interact professionally and effectively with 1 employees at all levels.
- Demonstrated flexibility and adaptability to thrive in a fast-paced and evolving environment.
- Strong organizational skills with a keen attention to detail.
- Exceptional customer service skills with a proven ability to effectively interact with both internal and external stakeholders.
- High level of organization and meticulous attention to detail.
