Projects include data centers, semiconductor and EV battery manufacturers, universities, health care facilities, and district energy systems.

This function will deliver production and developmental type work that supports the services we offer our customers. Position Overview: The Travel Coordinator is responsible for managing and organizing all aspects of domestic and international travel for employees, contractors, and guests. This role ensures travel arrangements are cost-effective, compliant with company policies, and executed efficiently to support business needs. The ideal candidate is detail-oriented, organized, and thrives in a fast-paced environment with changing priorities.


Key Responsibilities:

· Plan and coordinate travel logistics including flights, hotels, car rentals, and other transportation needs.

· Maintain travel records and itineraries and distribute them to travelers in a timely manner.

· Communicate with travelers to confirm preferences, provide updates, and handle last-minute changes or emergencies.

· Negotiate rates and establish relationships with travel vendors and agencies to secure cost-effective deals.

· Ensure compliance with company travel policies and budget guidelines.

· Monitor travel expenses and assist with reconciling and processing expense reports.

· Coordinate travel for events such as conferences, client meetings, training sessions, and company retreats.

Track and report on travel metrics such as cost savings, travel frequency, and policy adherence’s duties and tasks  

Requirements

· Proven experience in travel planning, coordination, or administration.

· Strong organizational and multitasking skills.

· Excellent verbal and written communication.

· Proficiency in travel booking tools and Microsoft Office (especially Excel and Outlook).

· Ability to remain calm under pressure and resolve issues promptly.

· Familiarity with travel policies, passport/visa processes, and travel insurance (preferred).

Preferred Qualifications:

· Experience with travel management software 

·  Previous work in a corporate or logistics-heavy environment.

· Associate’s or Bachelor’s degree in Hospitality, Business Administration, or a related field.

Additional Skill Sets: 

· This position may require occasional after-hours availability to address urgent travel needs or changes.

· Ability to work in-office or remotely as required.
