    Job Description

    Overview The role of the Property Manager is to professionally interact with owners on various levels assuring them of the care of their homes, resolving issues, and coordinating their personal use time. This position will provide leadership and management for the Suncadia properties, incorporating the best interests of the guest, owner, developer, and the management company. Facilitate day-to-day operations within Property Management by: facilitating owner reservations, communicate effectively with all departments (including, but not limited to Housekeeping, Front Office, Reservations, Sales & Marketing, Accounting, Maintenance, Golf, Spa, Swim & Fitness Center), Real Estate, and Community Associations to provide, maintain and create new reports that aid in the oversight of the rental management program. Act as administrative liaison to ensure a complete and smooth flow of information with owners, guests and employees. This position is responsible for maintaining effective communications and building long-term positive relationships between the owners and Suncadia Vacation Property Management (SVPM).

    Salary: $25.51/hour. This position is considered an overtime eligible manager. Based on a 45-hour work week, the targeted annual salary is $63,000.00 + incentives Why join our team?     Responsibilities:

    Owner Relations

    • Maintain accurate and updated information of owners, properties, and profiles.

    Act as liaison with Real Estate Sales, facilitating the showing of units, conversations with potential purchasers, and change of ownership regarding rentals. Distribution and delivery of any Welcome Packages, Rental Program Documents, Owner Gift distribution, and other owner correspondence.

    • Maintain rental listings through the online booking engine and external sites where our listings are promoted, following company guidelines and ensuring that listings are optimized.
    • Assist Owners with any issues or needs they may have. Communicate directly with private owners regarding condominium/ homeowner issues such as maintenance, quality and refurbishment, monthly accounting and reservations needs.

    Respond in a timely fashion. Communicate with owners through telephone calls, emails, website postings, letters, and/or meetings. Deal with complaints objectively and consistently.

    • Perform regular unit inspections and log all issues
    • Perform regular housekeeping inspections.

    Do pre-arrival walk through for assigned owners arrivals

    • Prepare Owner Events calendar and organize rental owners’ events and meetings

    Speak with new property owners regarding the resort rental program.

    • Assist new owners with checklist of items completed to qualify for rental program.

    Sales and Promotion Prospect and maintain other properties in designated territory for rental management potential Keep active list of top 5 targets in designated territory and document all communication efforts made Invite prospective owners to outings to discuss the property management program Meet and exceed standards for inventory growth in designated territory

    Financial Interact proactively with resort accounting staff Ability to understand and explain rental management and FF&E statements.

    • Review and code all owner invoices and work orders. Write descriptive explanation if necessary. Review FF&E reserves for each Owner.
    • Review Owner 1099s.

    Insurance Know any legally required insurance coverage either by statute or in the Rental Contract Make sure Owner’s and HOA have sufficient insurance coverage before allowing unit to be rented. Know requirements in the Governing Documents regarding insurance. Obtain or review incident reports in accordance to Suncadia/Hyatt Policy.

    Legal

    • Maintain knowledge of relevant codes, laws and ordinances, current state condominium laws, fire and health codes, and local ordinances.

    Maintenance and Property Improvements

    • Determine (through inspections, owner communication, Guest complaints, and housekeeper reports) the maintenance and improvement needs of the unit and generate work orders as necessary.
    • Schedule repair work with in-house maintenance team as well as outside maintenance companies.
    • Review and approve all work requests before billing.
    • Communicate with Owner about maintenance needs or needed repairs
    • Implement and oversee a preventive maintenance program in coordination with the engineering department.

    Arrange for emergency repairs.

    • Ensure work orders are in place and proper documentation of all maintenance items occurs.
    • Ensure proper billing of Maintenance Contract Fees and work orders outside the scope of maintenance fees.
    • Ensure quality work before authorizing payment to vendor.

    Housekeeping

    • Determine (through inspections, owner communication, Guest complaints, and housekeeper reports) the housekeeping needs of the unit and generate work orders as necessary.
    • Coordinate special projects such as periodic deep cleaning, OS&E inventory replacement, and refurbishment.
    • Review daily housekeeping logs.
    • Document replacement of any major soft goods (Bedspread, drapes, bed-skirt, etc.) and deduct from FF&E reserve.
    • Review annual linen inventory and ensure that each unit has been properly invoiced.
    • Ensure proper and timely billing for work orders.

    Administrative

    • Communicate performance and appearance standards for contractors and management company employees. (includes front office and reservations)

    Understand generally accepted business practices and techniques.

    • Ensure that all Association Rules and Regulations are adhered to

    Qualifications:

    Mininum of 3-years of previous customer or guest service experience Previous experience in a vacation rental or resort/hotel environment preferred Availability to work weekends Can act calmly and professionally in stressful situations Ability to analyze problems Effective written and oral communication skills

    Excellent time management skills Proficiency with Microsoft Office Suite & ability to learn and work in different software platforms and programs Must have a valid driver’s license and meet company driving standards #SuncadiaResort
