Xanterra operates a cafe, coffee bar, and retail store which are open seasonally from late May to mid-October.     Job Summary:

    The Human Resources Coordinator serves as the primary point of contact for employees, handling onboarding, routine inquiries, and employee relations while ensuring compliance with company policies. This role manages HR systems and records, coordinates payroll and timekeeping, administers drug and alcohol testing, and supports orientations and training. Additionally, the coordinator organizes employee activities, assists with transportation and housing logistics, and maintains confidentiality in all personnel matters. They also support basic accounting functions such as payroll processing, banking deposits, and financial reporting.

    The Details:

    Position Type: Full-time, Seasonal Season Dates: Mid-May until mid-October Pay: $24.05/hr.

    • Schedule: Typical schedule is 40 hours, 5 days per week (may include weekends, evenings, and holidays)

    Responsibilities:

    • Communicate with employees before and after arrival, serving as a point of contact for routine enquiries, employee relations, recreation, and recruitment.

    Confirm all employees are entered into Xanterra's systems: CloudSuite, iCims, Kronos, Tracker, Admin/HR/Acountingetc.

    • Maintain individual employee files ensuring all necessary documents are included.
    • Maintain federal forms and confidential information is properly stored.

    Correspond with corporate HR and payroll to establish payroll information, employee ID numbers, and any other required data.

    • Prepare employee badges.
    • Assist general manager with entering KRONOS timekeeping information and verification.

    Administer drug and alcohol tests. Available for employees to discuss concerns or issues they may be experiencing. Discuss with general manager, department managers, and employees, any concerns, corrective actions, employment, or transfers. Log any new information, transfers, pay rate adjustments, etc., into CloudSuite and iCims.

    • Assist at orientation and serve as a liaison with corporate HR and Payroll to answer any employee questions or actions taken.
    • Ensure all training logs are properly filled out and maintain files.

    Transport J-1’s to SSN office in Ft. Collins. Make arrangements, and communicate with employees for shuttle services to/from DIA. Know the correct procedures for fire alarms and other emergency situations at Estes Park location. Must maintain a high level of confidentiality related to personnel matters.

    • Plan employee functions.

    Advertise and promote recreation activities. Assist with all employee functions.

    • Assist general manager as needed.
    • Perform duties outside the job classification assigned by management along with any other responsibilities deemed necessary.

    Additional Accounting Duties

    • Manage daily financial operations including preparing sales and cash reports, auditing deposits, and reconciling with system reports.
    • Handle banking responsibilities such as preparing deposits, maintaining house and departmental banks, and ordering change.
    • Support payroll and reporting by producing bi-weekly payroll reports and distributing checks.
    • Ensure compliance and professionalism while working independently, including evenings, weekends, and assisting with seasonal inventory tasks.

    Qualifications:

    Experience in HR administration with strong HR aptitude and comfort working in a fast-paced seasonal operation is strongly preferred.:

    General accounting and cash handling experience preferred. Exceptional customer service skills, including the ability to maintain composure; ability to project a welcoming warmth and sincerity to all employees. Must have professional verbal and written communication skills, and the ability to work well with others.

    Ability to deal tactfully with problem situations, must have the maturity to keep confidential information safe and guarded.

    • Maintain accurate, confidential employee records and ensure timely HR documentation and communication.

    Motivational, organizational, and time management skills. Knowledge of general office procedures. Office machine skills, especially PC experience. Knowledge of the following PC software: MS Word®, MS Excel®, MS Outlook®. Knowledge of Dayforce, CloudSuite, iCims, helpful.

    Physical Requirements include:

    Ability to perform majority of work while sitting at a desk. Physical stamina and conditioning is required to withstand extensive walking, lifting, and transporting of supplies and equipment. This function may include loading company vehicles, moving supplies and equipment weighing up to 50 pounds to and from workstations on location.

    May be asked to help at the Trail Ridge Store & Café and be able to work at an altitude of 12, 000 feet. We are an Equal Opportunity Employer.
