Your Job:


The Brooks Runner Experience team (REx) is a large group of people managing fast-paced work in multiple locations and service channels. As the Department Administrative Assistant, you’ll help keep this busy team organized and moving forward, acting as a point of contact between employees, internal departments, and external parties to enable communication, process, and complex scheduling to ensure the functions run smoothly. You will manage business and organizational tasks for the team to support the needs of runners and retailers throughout the US.

Your Responsibilities:
  • Work under the direction of the REx Senior Director and Leadership Team to support the daily administrative, business and team needs across the Department
  • Proactively manage the calendars for the Senior Director of REx as well as functional leaders as needed. Assist with meeting calendar strategy for large, multi-team functions
  • Optimize team communication tools like MS Teams, Outlook, and SharePoint
  • Own Team SharePoint site in partnership with the Senior Communications Specialist
  • Develop and manage team meeting calendar, communicating with cross-functional teams to create engaging and educational content and speakers
  • Partner with REx Leadership Team to drive business and culture initiatives across each team and help build team integration and collaboration
  • Coordinate travel arrangements including scheduling flights, ground transportation, and booking hotel accommodation and handling any other trip-related tasks as needed
  • Assist with creation of expense reports for the team as needed
  • Act as subject matter expert on team travel and expense reports for full REx organization
  • Reconcile expenses from department credit card for accounting
  • Arrange and coordinate team meetings and events, venues, vendor management, room setup including audio/visual.
  • Attend meetings, take notes, track, and share decisions and actions
  • Assist with presentation document creation and meeting material preparation
  • Work with the Leadership Team to organize business/team events
  • Maintain team organizational charts and team email distribution lists
  • Partner with Training Team to assist with onboarding for new employees
  • Order/ maintain office supplies and equipment need
  • Act as a member of the administrative department team. This includes providing coverage for other assistants as needed
  • Support company meetings/ events as needed
  • Represent a culture of exceptional service, trust, and executional excellence
  • Perform special projects and additional duties as assigned.


Qualifications:
  • High school degree or equivalent
  • 1+ years of experience in administrative support
  • Exceptional interpersonal, verbal, and written communication skills with service orientation
  • Ability to manage multiple projects simultaneously and work in a fast-paced environment
  • Strong prioritization and organizational skills with a proven ability to get things done
  • Sound judgment skills with an ability to work with confidential information and discretion
  • Ability to work independently and with a high degree of initiative to improve processes
  • Excellent interpersonal skills that inspire and build trust resulting in effective working relationships across the company
  • Proficiency with Microsoft Office (Outlook, PowerPoint, Excel, Word, Visio), SharePoint, office technology and equipment
  • Experience creating high quality presentations utilizing PowerPoint, Keynote and reports using Excel is highly preferred

Compensation: The pay range for this position, based out of the Brooks Seattle HQ, is $59,913 - $89,921 per year. Base pay offered will vary depending on job-related knowledge, skills, and experience.

Location- You will spend 3 to 4 days per week in our Seattle offices, depending on your role, as we believe our organization flourishes when connections, collaboration, creativity, problem-solving, and celebrations happen in person.
