Responsibilities
- Collaborate in the planning and execution of in-person and virtual company events across the U.S., ensuring alignment with business objectives, target audiences, and logistical requirements.
- Coordination of end-to-end event logistics, including venue selection and negotiation, vendor management, catering, audiovisual needs, signage, and on-site execution.
- Serve as the primary point of contact for Spanish-speaking attendees, partners, and sponsors for all matters related to events, ensuring clear communication and a positive experience throughout the process.
- Assist with coordinating sponsorship relationships and deliverables for U.S. events under the direction of the Event Manager.
- Manage event registration processes, monitor attendance, support ticketing efforts, and address attendee inquiries in a timely and professional manner.
- Serve as a liaison to internal stakeholders, executive leadership, guest speakers, and attendees to ensure clear communication and a seamless event experience.
- Oversee corporate travel arrangements for employees and event participants, including flight, hotel, and local transportation bookings, while maintaining adherence to budgetary guidelines.
- Prepare and disseminate detailed travel itineraries and secure necessary approvals for travel expenditures exceeding established thresholds.
- Monitor event and travel budgets, identifying cost efficiencies and ensuring alignment with company financial policies and compliance standards.
- Manage day-to-day administrative tasks related to events and travel, including vendor orders, contract drafting and coordination, internal communications, and record-keeping.
- Ensure all events and travel initiatives reflect the company’s brand, values, and regulatory standards.
- Provide support to other departments or assist with special projects as required, in alignment with evolving organizational needs.
- Collaborate across teams, including Canadian counterparts, to ensure consistency and excellence in event execution.
Qualifications
- Fluent in English and Spanish (written and verbal) is required.
- 3–5 years of proven experience in corporate event planning and travel coordination.
- Bachelor’s degree in Hospitality, Event Planning, Business, Marketing, or equivalent experience.
- Experience coordinating multi-day events such as conferences, offsites, or leadership meetings.
- Strong understanding of U.S. domestic travel planning for individuals and groups.
- Comfortable managing and reconciling event and travel budgets.
- Willingness and ability to travel occasionally for on-site event execution.
- Highly organized with ability to multitask and prioritize under pressure.
- Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint).
- Experience with event management platforms (EventCombo, Melon, Corporate Traveller) is an asset.
- Familiarity with contract negotiation and vendor relationship management.
- Excellent communication and interpersonal skills, adaptable when interacting with vendors, executives, and guests.
- Self-starter with the ability to work independently and collaboratively.
- Strong problem-solving skills and ability to think on your feet.
- Professional demeanor and strong attention to detail.
- Must reside and be authorized to work in the USA.
- Willingness to travel and possession of a valid passport.

Salary Rate - $60,000 - $65,000/yr USD
The compensation range reflects a data-driven estimate of starting base pay for full-time (40 hours per week) employment. Individual pay may vary based on geographic location, job related skills, knowledge, experience, education etc.
