Job Summary: The Front Office and Travel Coordinator is responsible for managing front desk operations while coordinating employee travel logistics. This role serves as the first point of contact for visitors and staff at the front office and ensures smooth and efficient handling of company-wide travel arrangements. The ideal candidate is detail-oriented, customer-focused, and capable of juggling multiple administrative tasks in a fast-paced environment.
Duties/ Responsibilities:
Greet and assist all visitors, clients, and vendors entering the facility
Answer and direct incoming calls professionally
Manage incoming/outgoing mail, packages, and deliveries
Maintain a clean, organized, and welcoming front desk and lobby area
Order and track office supplies; ensure inventory levels are maintained
Manage calendars for shared conference rooms and common spaces
Arrange travel accommodations for staff, including flights, lodging, and rental vehicles
Ensure all travel arrangements align with budget guidelines and company policies
Maintain travel documentation, itineraries, and travel-related records
Assist with last-minute travel changes and emergencies as needed
Reconcile travel-related expenses and ensure timely submission of reimbursement requests
Assist with scheduling and organizing company meetings and events
Maintain and update internal directories and travel logs
Provide general administrative support including copying, scanning, and filing
Collaborate with HR for new hire onboarding travel and relocation needs
Other duties as assigned
Education/Certifications/Licenses
High School Diploma or GED required
Associate degree or administrative certification preferred
OSHA 30 or ability to obtain
Experience
Minimum 3 years of experience in an administrative, office coordination, or travel coordination role
Experience managing travel logistics and working with booking platforms is preferred
Required Skills/Abilities
Excellent interpersonal and communication skills
Strong attention to detail and organizational abilities
Proficiency in Microsoft Office Suite and Google Workspace
Ability to manage multiple tasks with competing deadlines
Experience with travel booking tools and expense reporting software
Professional demeanor and customer service orientation
Ability to work independently and as part of a team
