Natural Habitat Adventures (Nat Hab), a nature-focused global adventure travel company based in Colorado, is seeking an Operations Coordinator to serve as a member of the Adventure Operations team, the department that coordinates all logistics behind Nat Hab’s global slate of trips. This position is primarily responsible for ensuring partners and field staff have the information they need to provide the optimal experience for guests on departures for our Canada region. This position requires a local candidate, as in-office attendance is expected at least two days per week.


RESPONSIBILITIES

  • Thoroughly review, compile, and send departure-specific information to Nat Hab's in-country operators, contracted partners (hotels, restaurants, service providers) and Field Team. Most communication is done via email working heavily in our CRM software (FileMaker Pro). Guest information includes passport details, flight itineraries, medical/dietary information, and special requests.
  • Act as a resource for in-house Adventure Specialist and Guest Services colleagues regarding trip-specific information such as itinerary, hotel, meal, or transportation details, travel documents, etc. 
  • Organize select program details and logistics for destinations in Canada/North America, working intimately with Trip Owners and Lead Operations Coordinator - Canada. Logistics include, but are not limited to, scheduling and confirming restaurant and activity reservations and coordinating transportation needs on select programs, assisting with Expedition Leader and field staff flights, facilitating guest visa needs, and the management of room releases with individual properties and operators.
  • Assist or own the creation and dissemination of field staff documentation.
  • Assist or own with accurate data entry, record-keeping, and maintaining operational databases, ensuring data and content integrity across all platforms.
  • May include management of vendor or partner invoices.
  • May include ownership of partner or vendor relationships.
  • This role supports and backs up the Trip Owner and Lead Operation Coordinator as needed. 
  • Assist in the planning and execution of training retreats locally and in North America.
  • The position will include other responsibilities and opportunities not listed above.

 

SKILLS AND QUALIFICATIONS

  • Previous experience in logistics and data management preferred.
  • Travel industry experience is not required but a plus.
  • Proficient in Microsoft suite.
  • Computer database experience preferred.
  • Organized, detail oriented, and able to prioritize and manage tasks to meet deadlines.
  • College degree preferred.
  • Able to self-manage, take initiative and offer solutions.


COMPENSATION

Compensation commensurate with experience. Starting Salary Range: $58,000 - $60,000 USD. (Per Colorado’s Equal Pay for Equal Work Act, employers must include compensation ranges in job postings). This is a full-time, exempt position.

LOCATION AND TRAVEL

This position is based in Louisville, Colorado and requires attendance in the office at least two days per week.

 

This position will also require two to three weeks of travel to meet the needs of the role.

WORKING HOURS
Nat Hab’s office hours are currently Monday - Friday from 8 AM to 5 PM MT. We also open on Saturdays from 8 AM to 3 PM for select members of our guest-facing teams. Additional hours may be required to meet your goals as needed.
