    JOB TITLE: Recreation Coordinator DEPARTMENT/DIVISION: Parks & Recreation

    • REPORTS TO: Recreation Supervisor

    SUMMARY: Responsible for the development, implementation, and evaluation of programs as relevant to assigned lines of business, facility operations, and events in alignment with department business plan. Ensure availability of equipment, facilities, supplies, and staff or volunteers to monitor the activities. Assist in the development and progress of assigned lines of business and department business plan. Work requires limited supervision and the use of independent judgment, discretion, and scheduling.

    ESSENTIAL JOB FUNCTIONS:

    • Oversees the development, promotion, and implementation of diversified programs as relevant to assigned lines of business and services for all ages in accordance with community needs;

    Receives and responds to questions and concerns from patrons; identifies issues and resolves problems or refers to supervisor as appropriate;

    • Prepares reports, contracts, correspondents, and budget estimates for assigned lines of business;
    • Assists supervisor with budget development and management of budgets for assigned lines of business;
    • Prepares written documents, contracts, statistical reports, work orders, time sheets, schedules, brochures, calendars, program rosters, etc.;
    • Provides front counter assistance and customer service to the general public, which includes but is not limited to handling cash, answering telephones, reconciling the cash register and receipts, registering customers for offered services, and/or performing other customer service related activities;
    • Schedules use of recreation facilities and buildings through recreation software.

    Works independently and responsible for planning and managing work schedules, calendars, and deadlines as related to performing work within assigned duties and as assigned by supervisor; Works independently and responsible for overseeing programs and services at designated locations as it relates to assigned lines of business;

    Works effectively as part of a team, fostering open communication, mutual respect, and a cooperative environment to achieve shared goals and success (team leads will vary); Works collaboratively with vendors, contractors, volunteers, and other city staff as needed;

    • Performs routine facility maintenance and logistics, including but not limited to, the setup, tear down of tables, chairs, equipment, and supplies as needed for assigned lines of business and/or the overall success of the department;
    • Reports all maintenance needs for facilities, supplies, or inventory through appropriate work order methods;

    Works special events and weekends as needed; and

    • Performs other duties as assigned.

    POSITION SPECIFIC JOB FUNCTIONS:

    Recreation Coordinator – Education & Outdoor Recreation

    • Designs and delivers educational and outdoor recreation programs that promote learning and environmental awareness. Manages instructors, contracts, and program logistics. Ideal for creative planners with a passion for outdoor education.

    SUPERVISORY/BUDGET RESPONSIBILITIES:

    Serves as a lead to Recreation Attendants, Recreation Instructors, and Interns.

    • Assist with development of department budgets and manage budget as it relates to assigned lines of business.

    KNOWLEDGE, SKILLS, AND ABILITIES:

    Knowledge of recreational or leisure trip programming and operations in assigned area of responsibility; Knowledge of modern office equipment; Knowledge of marketing theories, principles, and practices; Knowledge of applicable age-appropriate activities and materials; Knowledge of community demographics;

    Knowledge of applicable Federal, State, and Local laws, codes, regulations, policies, rules, and regulations as well as travel laws for other countries.

    Skilled in prioritizing and assigning work to support staff and volunteers:

    Skilled in performing bookkeeping activities; Skilled in developing and monitoring budgets; Skilled in exercising good judgment, flexibility, creativity, and sensitivity in response to changing situations; Skilled in scheduling activities and events; Skilled in overseeing recreation trip sites and equipment;

    Skilled in planning, developing, supervising, and managing activities and/or events; Skilled in evaluating trip effectiveness; Skilled in preparing and maintaining records and reports; Skilled in interpreting and explaining policies and procedures; Skilled in handling cash; Skilled in mediating conflict;

    Skilled in coordinating and monitoring the work of volunteers; Skilled in providing customer service; Skilled in operating a computer and related software applications; and; Skilled in communicating effectively with a variety of individuals.

    MINIMUM QUALIFICATIONS:

    High School Diploma or G.E.D. Two years of either recreation programming/league or facility management experience.

    PREFERENCES:

    Previous experience in recreation center operations. Certified Parks and Recreation Professional (CPRP). Bachelor’s degree in Parks, Recreation, and Leisure Services Administration or related field.

    WORK LOCATIONS:

    Work locations will vary based on the needs of the specific program, activity, or service. Collaborate with supervisor to determine the most effective location for success as relevant to the assigned line of business.

    City Facilities could include, but not limited to:

    A.W. Perry Museum; Carrollton Senior Center; Crosby Recreation Center; Elm Fork Nature Preserve; Rosemeade Recreation Center; City Parks; and Non-city facilities as needed for the success of the program

    WORKING CONDITIONS:

    Frequent reaching, sitting, standing, stooping, crouching, walking, talking, seeing, hearing, and manual dexterity. Occasional domestic (and as assigned, international) travel. Occasional lifting and carrying up to 50 pounds. Work is primarily performed in a standard office setting but may vary based on specific duties, services, and travel accommodations and locations. Occasionally, work may take place outdoors, with potential exposure to adverse weather conditions.

    CONDITIONS OF EMPLOYMENT:

    Must pass pre-employment drug test. Must pass criminal history check. Must pass motor vehicle records check.
