Patient Financial Coordinator

IVI RMA North America is looking for a Patient Financial Counselor for Triangle MSO/UNC Fertility in our Raleigh clinic.  This is a full-time role with hours 7:30am-4:00pm Monday through Friday.  This is an on-site role for the first 6 months-once you hit certain training milestones, you are allowed to do 2 days a week from home.

REI Financial Counselor

Supervisor/Reporting to: Billing Manager

Job Purpose: The REI Financial Counselor serves as a key resource for patients navigating the financial aspects of fertility care. This role is responsible for conducting financial consultations, verifying insurance benefits, generating cost estimates, collecting payments, and ensuring accurate documentation of patient financial obligations. The counselor works closely with patients, clinical staff, and insurance providers to facilitate a smooth financial experience and support timely access to care. Strong communication, attention to detail, and problem-solving skills are essential for success in this role.

Essential Functions and Accountabilities:

Patient Financial Consultations:

• Conduct one-on-one consultations with patients to explain financial policies, payment expectations, and insurance coverage.
• Set clear expectations regarding payment protocols and financial responsibilities.

Insurance & Authorization Management:

• Verify and document patient insurance benefits, update patient accounts accordingly.
• Request and enter insurance authorizations for fertility procedures via online portals or phone.
• Submit prior authorization forms and maintain accurate records across systems.

Estimate Generation & Payment Collection:

• Generate and provide cost estimates using the REI estimator tool for upcoming services.
• Collect estimated liabilities from patients and apply payments to accounts.
• Post payments for future fertility services and allocate funds appropriately throughout the treatment plan.

Account Oversight & Issue Resolution:

• Make informed decisions regarding patient accounts to ensure accuracy and efficiency.
• Assist patients in resolving balance inquiries and financial concerns.
• Respond promptly to portal messages from administrative staff, clinical teams, and patients.

Academic Training: High School Diploma or GED required.

Position Requirements/Experience:

• Minimum of 2 years of experience in financial counseling, patient access, or medical billing in a healthcare setting.

Technical Skills:

• Familiarity with fertility services and insurance authorization processes is a plus.
• Proficiency in EHR systems and billing software.
• Strong interpersonal, organizational, and analytical skills.
• Customer Focus: Prioritizes patient needs and resolves issues effectively.
• Coaching & Training: Supports staff development and onboarding.
