The Program Coordinator role as part of the Girl Scouts – Arizona Cactus-Pine Council (GSACPC) Girl Program and Outdoor Program Team works with staff, girls and volunteers to ensure the administrative functions of the Program Team’s portfolio delivers opportunities that are meaningful for girls and valued by troop leaders and families. The selected candidate will be part of a highly functioning, fast-paced team that works collaboratively and in partnership with other organizational teams. The goal of the Girl and Outdoor Program Team is to support GSACPC member retention and the Girl Scouting movement.

Reports to: Senior Director of Girl and Outdoor Programs  

FLSA Status: Regular, full time, non-exempt 

Essential Functions:

  • Administrative tasks in partnership with the Girl and Outdoor Program team members.  
  • Communicate effectively by providing timely responses to team members, organizational colleagues, partner organizations, and volunteers via email and phone. 
  • Managing/Organizing internal team calendars and monitoring the external calendar system.
  • Managing the internal databases including program entry data, program communications, volunteer committee rosters and communications.  
  • Support the marketing and promotion of girl and outdoor program team programming.

Required Knowledge, Skills and Abilities:

  • Associates degree or professional experience may be substituted. 
  • Demonstrate behavior consistent with the core competencies, core values and beliefs of the organization.
  • Commitment to the aims and purposes of the Girl Scout movement, including the belief in the importance of the volunteer organization in our society.
  • Ability to communicate effectively with a diverse population including adults and girls.
  • Ability to manage a multi-project workload and to exercise initiative. 
  • Functioning as an effective team member is essential.
  • Strong interpersonal, verbal and written communication skills, including correct spelling and grammar usage and proofreading capabilities.
  • Database, Calendar, Invoice management.
  • Excellent time management and critical thinking skills.
  • Maintain a growth mindset. 
  • Join and maintain formal membership in the Girl Scouts of the U.S.A.
  • Skilled and experienced with Windows, Microsoft software (Outlook, Word, Excel, etc.), and using web-based applications.
  • Valid AZ driver's license, insurance, and access to reliable transportation.
  • Willingness to take responsibility for self-directed learning and participate in staff development opportunities when offered.
  • Knowledge of, or willingness to learn, the Girl Scout program.

Physical Abilities

  • Ability to lift a minimum of 40 pounds.
  • Physical mobility to work in a variety of settings including both office and camp environments.
  • Ability to travel long distances by car, bus or plane.
  • Ability to be trained and drive council vehicles.

Preferred Knowledge, Skills and Abilities:

  • Prior knowledge and experience with the Girl Scout program. 
  • Prior experience with the administrative functions of event planning. 
  • Technological experience with: Learning Management System(s) (LMS), Publisher (MS office feature), Salesforce, and/or Smartsheet. 
  • Bi/multi-lingual.
