Exciting Opportunity: Office Manager Role! 

 

Working alongside the Country Director and senior staff, the Office Manager is crucial in handling complex administrative tasks and sensitive situations. You will ensure the smooth daily operations of the office and manage conferences and events. This role requires excellent organisational skills, a calm demeanor, and a strong focus to get the job done. In this exciting role, you will make a real difference to your colleagues and contribute to the organisation’s mission of physical and spiritual transformation.

 

We are Mission Aviation Fellowship (MAF)! An organisation that has been using light aircraft to deliver help and hope for over 75 years across more than 30 developing countries. MAF transports patients, relief workers, produce, and medical supplies to some of the world's most remote and needy regions—places where flying is not a luxury but a lifeline.

 

One of these places is Arnhem Land, a historical region of the Northern Territory of Australia. It is also a beautiful vast wilderness area, defined by rocky escarpments, gorges, rivers, and waterfalls. MAF has served the people in Arnhem Land for 50 years by sharing God’s love through aviation. To continue providing this valuable service we need a motivated Office Manager.

Responsibilities

 In this dynamic role, you will play a crucial part in supporting the Country Director and Senior Staff by working proactively alongside them. Your responsibilities will span a variety of office administration duties, ensuring smooth and efficient operations.

Key Responsibilities:

  • Meeting and Event Organisation: Plan, coordinate, and execute meetings and events, ensuring every detail is covered.
  • Publications Management: Design and oversee the production of various publications, ensuring they are of the highest quality and align with our organizational standards.
  • Travel Arrangements: Handle all aspects of travel logistics, including booking flights, accommodations, and transportation, ensuring seamless travel experiences for our staff.
  • Minute Taking: Accurately record minutes of meetings, ensuring all discussions and decisions are well-documented and easily accessible for future reference.
  • Property Coordination: Work with Building Maintenance to coordinate property repairs and upkeep, ensuring our facilities are always in top condition.
  • General Office Support: Provide comprehensive administrative support, handling a wide range of tasks to ensure the office runs smoothly.

Essential:

  • Post High School qualification in administration or as a secretary or as PA or equivalent
  • Proficient Computer skills in Microsoft Office
  • Experience as an Office Manager, Executive Secretary or equivalent
  • Experience in note taking
  • Experience in planning and facilitating meetings and conferences
  • Experience in compiling a budget
  • Working knowledge of Microsoft Office to prepare documents or presentations
  • Working knowledge of electronic communication methods
  • Touch typing

Desirable:

  • Knowledge of MailChimp or equivalent
  • Knowledge of Trello or equivalent
  • Resource Management
